Recruitment Personal Data Notice & Consent – RPO Hiring

1. Data Handling Parties

The Hiring Company and GCL jointly coordinate recruitment operations and handle personal data for the purposes below.

2. Purposes of Processing

Application intake, screening, assessments, interviews, evaluation, communication, reference checks (if conducted), hiring decision, offer process, pre-employment procedures, inquiries handling, fraud prevention/audit, and improvement of recruitment activities (e.g., aggregated/anonymized analytics where feasible).

3. Categories of Personal Data

Name, contact details, resume/CV contents, education/employment history, qualifications, skills, portfolio, interview notes/assessments, communication logs, reference information (if applicable), and recording data (if applicable).

4. Sharing/Disclosure

Your personal data may be shared/disclosed to the extent necessary for recruitment purposes:

Between the Hiring Company and GCL

Individuals involved in the selection process, including employees and non-employee participants (contractors, external advisors, interview observers)

Service providers used for recruitment operations (e.g., ATS, video conferencing, assessments, email tools)
All such recipients are required to maintain confidentiality and use the data only for recruitment purposes under appropriate contractual and organizational controls.

5. Cross-border Storage/Processing

Your personal data may be stored/processed outside India (including Japan) as necessary for recruitment operations.

6. Retention

We retain personal data for approximately 1 year after completion of the recruitment process, unless longer retention is required by law or for legitimate operational needs, after which it will be deleted/disposed of in a reasonable manner.

7. Withdrawal / Contact
